How to record Grades - Manually and Bulk Upload

This section takes care of how grades can be entered into the platform. And it can be done in two ways, manually and through bulk upload


How to record Grades manually


Adding grade manually means you enter the score(s) of students for each subject one after another directly to the portal of the school. And to do this, you must be logged on to the school portal and must be connected to the Internet. Here is how to go about it

  1. Go to ‘Academic’ Nersapp Support

  2. Select ‘Grades’ Nersapp Support

  3. Click on ‘Record Grades’Nersapp Support

  4. Select school level (Nursery, Primary, etc.) that you want to enter a grade.Nersapp Support

  5. Click on ‘select class’ and select a classNersapp Support

  6. Select the subject in the selected classNersapp Support

  7. Click on 'Load Records'Nersapp Support

  8. Enter the CAE scores in the corresponding box and Nersapp automatically gives the total based on the formula set when creating CAE system (How to create CAE systemNersapp Support

  9. Under ‘Comment’, also known as teachers’ comment, enter whatever comments you deem fit for each student. But this comment would have to be given by the class or subject teacher. This can be activated for use when generating termly report (see documentation on ‘How to generate term academic report'). But if you do not want Nersapp to use this, skip this step and move to the next. Nersapp will use ‘Grade system comment’ (see documentation on ‘how to generate term academic report’Nersapp Support

  10. Check ‘TA’ (Teachers Approval) and ‘AA’ (Admin Approval) boxNersapp Support

  11. Click on saveNersapp Support

Note : If the student didn’t take a subject that he/ she offers, perhaps was absent at the time, the score column should be filled with ‘abs’, and if the subject is not offered by the student, fill the appropriate score column(s) with *. Also, if the TA and AA check box is not checked, the result for that class would not be generated (see documentation on how to generate report). 


How to bulk upload grades


Nersapp affords all users the alternative of working offline and doing a lot offline in a situation whereby the internet connection is poor or when you have limited internet. Most times, one can choose to work offline because it can be faster, and after doing a whole lot, such a job can then be uploaded and processed to the portal within seconds after completion, under a good network connection. Bulk grade upload can be done with the following steps:

  1. Repeat Step 1 to 6 of How to record Grades manually

  2. Click on ‘Create Template’. A Microsoft Excel file with the name ‘grades-template.xlxs’ will pop up Nersapp Support

  3. Click on the file to download itNersapp Support

  4. Open the file with Microsoft Excel software. From the opened file in Excel, the names of all students in the class are shown with columns for CAT and Examination scores that have been set under ‘CAE system’ and activated under portal settings (see documentation on 'how to set CAE System' and How to activate CAE under portal settings'). All subjects assigned to the class appears as a different worksheet on the same Excel file.Nersapp SupportNersapp Support

  5. Enter all grade scores for the students in all subjects and save the file somewhere when done. Nersapp Support

11. Come back to the portal and follow the above steps 1-6 of How to record Grades manually, and click ‘upload’

12. Click on the empty environment shown and Nersapp prompts you to attach the file, opening the storage of your systemNersapp Support

13. Select the file and the file is uploaded automatically and it marked to indicate a successful upload and feedback (upload successful) is gotten at the top right corner in a green box.Nersapp SupportNersapp Support

14. Click on ‘process all’.

Please note: If there is no mismatching with the grade scores, all scores for the selected subject in step 6 are processed. If there is a mismatch with scores or any other issue (for example, a score that is above the maximum score of a column is entered), Nersapp tells you where the error is and prompts you to fix it before the file can be processed. If that is the case, after fixing the issue, the previously uploaded file that would still be on the ‘upload’ environment (steps 12 and 13) has to be ‘removed’, this can be done by either clicking on ‘remove file’ below the uploaded file or by clicking on ‘Reset’ below the upload environment. Then select the right file and ‘process all’

15. Check all ‘TA ‘ and ‘AA’ columns for all students

Note: The templet that was downloaded in step 2 may contain the subjects of the who classes if only subject wasn't selected, but if a subject was select the templet will only contain the subject that was selected. Nersapp automatically picks the scores for the selected subject from the sheet on the file that has been worked upon that you uploaded. Once that is done, follow step 15 and step 16.
